This notice applies if you:
- visit our websites or portals; or
- buy or use any products or services provided by Chess Limited or any current or future subsidiary or affiliated company within the Chess Group.
Who we are
The Chess Group collects and uses personal information and is responsible for it as a data controller under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
The personal information we collect
Information you give us
We collect information when you:
- place an order or sign up for our products or services.
- contact us about your account.
- complete surveys or enter competitions.

• suppliers and service providers who help us deliver and support our services (such as customer support teams, carriers or couriers).
• organisations that help us improve our services.
• other companies within the Chess Group and Chess T2 Group for marketing and service-related purposes.
• buyers or advisers if we sell or restructure part of our business.
• courts, regulators or law enforcement bodies where required by law; and
• regulators such as Ofcom, CISAS or the Information Commissioner’s Office (ICO) when they request information to investigate a complaint.
We only share information where it is necessary and lawful to do so.
Definitions used in this section
Chess T2 Group means Chess T2 Limited and any current or future subsidiary or affiliated company within the Chess T2 corporate structure. The Chess T2 Group is a separate legal group from the Chess Group, although certain shareholders or directors may be the same.
How long we keep your information
We keep personal information only for as long as necessary to:
• provide goods or services.
• meet legal, regulatory or tax obligations; or
• protect our legitimate business interests (for example, dealing with disputes or fraud).

Our legal bases for using your information
We use your personal information where:
• it is necessary to perform a contract with you.
• it is in our legitimate interests, provided your rights do not override those interests.
• you have given consent (for example, for certain marketing); or
• we have a legal obligation to do so.
Where we rely on legitimate interests, we explain these to you where required.
Credit checks
To help us assess applications, prevent fraud, and meet our legal and regulatory obligations, we may obtain information about you from credit reference agencies (CRAs).
We obtain this information via Creditsafe, which uses its data partner TransUnion to supply consumer credit and identity data.

Marketing preferences
If you have agreed to receive marketing, we may contact you about products, services and offers we think may interest you. Our emails may include tracking technology to help us understand how effective our communications are.
You can stop receiving marketing at any time by:
• clicking “unsubscribe” in any marketing email; or
• contacting us using the details below.
We aim to action opt out requests within 3 working days, though it may take up to 28 days to fully synch across all systems.
Cookies
Our websites, portals and applications use cookies to collect information such as:

• browser and device details.
• pages visited and time spent on pages.
This helps us understand how our sites are used and improve your experience. We do not try to identify you from your IP address unless required by law or to protect our rights or those of our customers.

We do not transfer personal information outside the EEA unless:
• the destination country has been approved by the UK as providing adequate protection; or
• appropriate safeguards are in place, such as the ICO International Data Transfer Agreement.

Keeping your information secure
We use appropriate technical and organisational measures to protect personal information. Access is limited to people who need it for legitimate business purposes.
We have procedures in place to deal with data security incidents and will notify you and regulators where required.
The Chess Group is accredited to ISO 27001:2022, demonstrating our commitment to information security.

Microsoft Teams Event Registration Site Terms of Service
These Microsoft Teams Event Registration Site Terms of Service (“Registration Site Terms”) apply to your access to the Microsoft Teams Event Registration website available at https:// events.teams.microsoft.com/ (“Registration Site”) and the event registration services provided on Registration Site (the Registration Site and the services provided on it, collectively the “Registration Services”) provided by Microsoft Corporation (“Microsoft” or “we”).
These Registration Site Terms include the Microsoft Services Agreement, available at https://go.microsoft.com/fwlink/?linkid=2097521 (the “MSA”) hereby incorporated by reference. The Registration Services are included within the meaning of “Services” under the MSA, and all other capitalized terms used but not defined in these Registration Site Terms are used as defined in the MSA. There are sections of the MSA that may apply only in certain scenarios or only in connection with certain Services, and those sections might not apply to your use of the Registration Services. In the event of any conflict between the terms of the MSA and these Registration Site Terms, these Registration Site Terms govern to the extent of the conflict only.
By creating an account or by otherwise using our Registration Services, you agree to these Registration Site Terms, including the mandatory arbitration provision and class action waiver in the MSA. If you do not agree to these Registration Site Terms, do not use our Registration Services. For avoidance of doubt, pursuant to Section 4(c) of the MSA, you agree that your use of the Microsoft services may be subject to the agreements Microsoft has with you or your organization and these Registration Terms may not apply.
Registration Services Account
The Registration Services allow you to register to attend webinars and virtual events on Microsoft Teams (each, a “Hosted Teams Event”) hosted by Microsoft Teams users (each, a “Teams Event Host”). You must create an account through the Registration Services (a “Registration Services Account”) in order to use the Registration Services to register for a Hosted Teams Event. To create a Registration Services Account, you may use a work, school or personal email address or a third-party login service, such as Facebook or Google. If you use a third-party login service, we may collect information about you from that third-party service, including your first name, last name, email address, and other information.
You may be invited to create a Registration Services Account by the Teams Event Host who invites you to their Hosted Teams Event. Once you have created a Registration Services Account, you may use such account to register for and attend subsequent Hosted Teams Events, including those hosted by other Teams Event Hosts.
If you create a Registration Services Account using your work or school email address, the owner of the domain may be able to view sign-in activity related to use of your account to access Hosted Teams Events, but the sign-in activity will not include event details such as title or event host information. The owner of your domain will not otherwise receive information from Microsoft regarding your use of the Registration Services.
Participation in Hosted Teams Events
These Registration Site Terms apply to your use of the Registration Services only and not to your participation in a Hosted Teams Event. To attend or otherwise participate in a Hosted Teams Event, you may be required to agree to separate terms provided by the Teams Event Host. Additionally, the Teams Event Host, and not Microsoft, controls the means and purposes of processing the personal data collected from you in connection with your participation in a Hosted Teams Event. The Teams Event Host and Hosted Teams Events are Third-Party Apps and Services as defined in the MSA.
Miscellaneous
The failure of Microsoft to exercise or enforce any right or provision of these Registration Site Terms will not operate as a waiver of such right or provision. Except as otherwise provided herein, these Registration Site Terms are intended solely for the benefit of the parties and are not intended to confer third-party beneficiary rights upon any other person or entity. You agree that communications and transactions between us may be conducted electronically.
